Background
Our client, a rapidly expanding company, was facing a challenge with managing their email signatures. Their old process required each employee to manually copy an email signature template, paste it into their email software, and then edit the details. This procedure was not only time-consuming but also led to inconsistencies in information and styling, affecting their corporate identity.
Problem
Manual handling of email signatures led to multiple issues for our client. First, it was not time-efficient, as each employee had to manually set up and update their email signatures. Second, the lack of central control over the signature content and design often resulted in incorrect information being included and inconsistent styling. These errors and inconsistencies negatively impacted the company’s professional image and credibility.
Solution
We proposed a system to centrally manage the email signatures, which would automate the styling process and ensure uniformity across the organization. Our system automatically populates the email signature with the correct information, ensuring accuracy and consistency.
To achieve this, we integrated our email signature management system with Azure Active Directory on Microsoft. This allowed us to pull relevant information for each user, ensuring that all details in the email signatures were based on a single source of truth.
Our automated solution also ensured that whenever new employees joined the company, their email signatures were automatically set up and managed in the backend, eliminating the need for manual intervention.
